Collaboration between Microdynamics Group and JAT Software completes a service offering.
JAT Software is the premier paperless solution for providing secure electronic tax documents to high-volume Fortune 1000 clients. Since incorporating in 1987, JAT Software has refined their employee self-service solutions for electronic distribution of forms W-2, W-2c, 1095-C, 1099, 1042-S, T4, T4A, RL-1, custom forms, and employee pay stubs.
To meet the needs of prospects with a complete offering, however, JAT Software needed something more.
“We couldn’t compete if we didn’t have a print division,” said Craig Garritano, Executive Vice President of Operations at JAT Software, “We need the comprehensive solution.”
Rather than take on the financial and operational obligation of building an in-plant printing facility, JAT Software chose to outsource printing of critical year-end tax documents.
In 2004, Microdynamics Group was chosen to complete JAT Software’s offering. Microdynamics Group currently provides approximately 30% of the service delivered to clients by printing 1.1M forms annually. When appropriate, JAT Software presents the Microdynamics Group’s offering as their own, and regularly converts software-exclusive clients to full-service including print and mail.
But even a long-standing white-label service partner has challenges for JAT Software.
Rigorous security demands and IRS regulations make outsourcing a sensitive proposition.
“The most challenging area in securing and maintaining a new client is security and regulatory issues,” said Garritano.
So how did JAT Software develop enough trust in Microdyanmics Group to trust them as a white-label service provider and to ensure best security practices and comply with rigorous IRS regulations?
Garritano suggests the security practices of third-party partners must be equal to or better than your own, making Microdynamics Group the perfect fit.
“All their security requirements from an architecture and IT perspective were ahead of the curve when the audits were starting 12 years ago,” he said.
Microdynamics Group stays ahead of the curve physically, and with network and data security. An integrated card-biometric access system that requires a pre-authorized photo-ID badge with matching biometric read and CCTV digital video recordings manage Microdynamics Group facilities.
A multi-layered approach to network and information security including multiple separate firewalls, and DMZs deployed to handle pre-authorized circuit-based connections, and support SFTP and internet-based VPN connections with clients protect data.
Microdynamics Group continually undergoes third-party audits governed by SSAE16 Type-2 parameters, beginning annually in October and completed the following September, with corresponding Service Organization Control Reports available in December.
“Microdynamics Group is quick to deliver their SSAE16 and SOCs for us to easily pass along to clients,” said Garritano. “They give everything needed in security documentation efficiently, it satisfies a lot of contracts.”
When documentation is not enough, JAT Software is confident Microdynamics Group will perform admirably during new client security audits.
JAT Software and Microdynamics Group collaborate in this hyper-secure environment with a shared format for data files that simplifies processing of documents delivered electronically, or by print and mail.
JAT Software enjoys a 97% client retention rate.
While Garritano is unable to quantify how much the relationship with Microdynamics Group contributes to that impressive metric, he says, “we’re always able to put the client first and go the extra mile because Microdynamics Group will get it done for us.”
That assurance is why JAT Software trusts putting their name on the service Microdynamics Group provides. It’s the primary benefit of a secure partner relationship.
